What expenses are covered by DeMatha?
Meet entry fees.
Racing uniforms, which are distributed to the athletes prior to the first race, cared for by the athletes through the season, and returned to the coach at the end of the season.

What expenses are covered by parents/athletes?
Cross Country Fee (includes $30 weight-room fee, fee to offset cost of banquet catering, and fee to help cover additional equipment costs)

Team Gear (Warmups, t-shirts, and other gear will be available for purchase through a BSN team store).

Athletes without a locker in the Convocation Center must rent a lock to be assigned an athletic locker. The cost for this is $5.
Seniors have the option to purchase their jersey/shorts.
When are health forms due and how do I submit them?
Prior to participating at practice, all four health forms (Physical Examination, Medical History, Emergency Contact & Safe Sports) must be completed and submitted via the Athletic Training System (ATS) portal.
Prior to participating at practice, two handbook forms (Parent Handbook Form, Permission Form and Release, and Waiver of Liability for OSAs) must be completed and also submitted via the Athletic Training System (ATS) portal.
If your physical examination form has not been submitted on ATS, you must complete the Waiver of Liability for OSAs form in order to train with the team during the offseason. After August 12, this form is no longer adequate to participate on the team and the physical examination form must be uploaded to ATS in order to continue training with the team.
Required forms are due before August 12 (physicals must be performed and dated after June 1), with the exception of the Waiver of Liability for OSAs which is due before participating in any Out-of-Season activity.
Note: Athletes are not permitted to practice or join an athletic team until all health forms have been submitted via the ATS portal.
My son is a freshman (or transfer). I have already submitted his health forms to DeMatha's Main Office as part of his admittance requirements. Am I also required to submit this via the ATS portal before he joins the cross country team?

How do I create an Athletic Training System (ATS) portal account?
Yes, all four health forms (Health Examination, Emergency Contact, Medical History & Safe Sports) must also be submitted via the ATS portal even though they were sent to DeMatha as part of your son's admittance package.
For subsequent school years, health forms must be completed and submitted via the ATS portal if your son chooses to join an athletic team.
Note: Freshmen and transfers are not permitted to practice or join an athletic team until all health forms have been submitted via the ATS portal.
How do I pay fees for joining the cross country team?
A portal will be available through the Stag Store to pay your fee for joining the cross country team.
Note: The $30 weight room fee is good for the entire school year (i.e., all three athletic seasons - fall, winter, and spring). If your son participates in another sport after cross country, please be sure to discuss with his winter and/or spring coach so this fee may be waived for their season.
I waited until the last minute to make an appointment for a physical, what should I do?
If you are unable to get an appointment with your physician within a reasonable timeframe (i.e. a day or two), you can go to a MinuteClinic (located within various CVSs). Remember to bring the DeMatha heath forms and your checkbook/credit card - no appointment necessary.
Are there cuts for cross country?
Yes, though very rare; athletes who put forth minimal effort or are a poor influence on their teammates will be cut, or at minimum suspended, from the team. Suspensions and cuts are not performance-based, they are based on effort, behavior, and/or academic eligibility concerns.
There are, however, performance thresholds athletes must meet before being allowed to compete at a meet in a DeMatha uniform. Athletes must complete a 5k in less than 30 minutes. Athletes who have not met this threshold will be allowed to remain on the team provided there are no effort or behavioral concerns, but will not be entered in a meet* until they reach that threshold.
*Exception: Though the WCAC Championship does not do this, some regular season meets vary in their order of events. If the JV race is the last event of the meet, these athletes may still be entered.
How do I know if practice is cancelled or if there has been a change in location?

Additionally, cancellations are typically announced by the school via an email blast.
Can I pick my son up from off-campus practice?
Yes; however, the bus leaves promptly at the conclusion of practice. If you are late, your son WILL NOT be left unattended. He will be brought back to DeMatha and you can pick him up there.
How do I let the coach know I cannot make a practice?
Athletes should text via Remind or send an email to Coach before practice begins. Your teammate is not responsible for communicating with Coach on your behalf (and neither are your parents).
What should I do if I am unable to attend a meet?
Athletes and parents need to review the schedule at the beginning of the season and let Coach know if there are any meets he cannot make. Athlete participation lists must be submitted to meet directors at least a week in advance of the actual meet day.
If an unanticipated event occurs, the athlete should text, email, or call Coach as soon as possible.
If I miss the bus, does that mean I cannot participate in the meet?
The bus leaves on time; if an athlete misses the bus, please contact Coach and let him know if you still plan to attend (you will need your own ride).
If Coach does not hear from you by the time he arrives at the meet, you will be scratched (see Rules & Expectations for consequences).
What should I bring to a meet?
Racing uniform (should be worn under your warmups/sweats)
Training shoes and racing spikes
Under Armour Warmups/sweats, short/long sleeve shirt
Under Armour Hat and gloves (October mornings are often cold)
Extra pair of socks (Under Armour if logo is visible)
Money for food if we are stopping on our return trip to the school

Do I have to ride the bus to each meet?
Yes - the school and coach provide a tent and tarp, among other items, for athletes to use during a meet. Athletes are responsible for loading these items onto the bus prior to leaving for the meet. They are also responsible for unloading the bus and setting up the "team area" upon arrival at the meet.Â
We schedule our departure and arrival times to provide the required time to set up our area, visit the rest room, get race information, and warm-up prior to the first race. Late arrivals are avoided as they create unneeded stress and do not provide for optimal race performance.
Additionally, team unity is built when athletes ride to and from a race together.
For special circumstances (e.g., you live five minutes from the meet), please discuss with Coach prior to race day.
Can I attend my son's races?
Parents are encouraged to attend as many meets as possible. It is the #1 reason we primarily schedule meets within an hour of the school.
Your son may not tell you, but he appreciates your interest in his athletic participation.

Can I take my son home after his race?
Athletes are not allowed to leave a meet until they have done a cool-down run (approx. 30 minutes) and all equipment is packed up and loaded onto the bus.
Athletes are responsible for packing up items (i.e., tent, tarp, water cooler, etc.) after the meet and putting them back on the bus. They are also responsible for unloading the bus upon its return to DeMatha.
Once everything is packed up and loaded on the bus, the coach has approved, and the Return Trip form has been given to Coach, athletes may leave with a designated driver.
Athletes are strongly encouraged to remain for awards ceremonies. If an athlete has earned an award, it shows respect for the other competitors to stay and accept the award. And even if an athlete has not earned one, it shows good team spirit to support your teammates who did and good sportsmanship to applaud our competitors who earned awards.
One additional thing to keep in mind - team unity is built when athletes ride to and from a race together and when they encourage each other during their races. For this reason, it is strongly encouraged that athletes stay through the meet and ride the bus back to school from a meet.
Note: If you want your son to carpool with another athlete or parent to a meet, the two sections of the Carpool form must be completed by the involved parties and given to coach before the day of the meet.
What is the policy regarding working with another coach or doing extra workouts on your own or with a parent?
Athletes are not allowed to work with an outside coach or do additional workouts without the direct approval of Coach Puffett.
The coaches spend considerable time creating a training plan that helps each athlete meet his potential while minimizing risk of injury. Doing additional practices, or practicing with a different coach, undermines our coaches' ability to reduce injury risk, greatly impacts the efficacy of the training plan, and may impact team morale.
How is a cross country meet scored?
Each athlete on a team earns approximately the same number of points as his place in the race (athletes on incomplete teams do not score and are skipped for the purposes of awarding points for team scoring).
The top five athletes on a team "score" in a traditionally scored meet.
The team with the lowest number of points wins the meet. In the event of a tie between two or more teams, their respective sixth finishers break the tie.
A perfect score in cross country is 15, where a team has five runners who finish in 1st, 2nd, 3rd, 4th, and 5th. 1+2+3+4+5=15
How may athletes are in a typical race?
This can vary depending on the popularity of the meet, and whether it is a varsity or junior varsity race. Since varsity races are typically limited to seven athletes per team, they tend to be smaller in size than JV races, which often have unlimited entries and can range from 200 to 400 athletes or even more depending on meet attendance.
How come at some meets DeMatha is scored as a small school and at others a large school?
Some Meet Directors require information about the school (i.e., the number of students) along with a list of athletes who will be competing at their meet. Once these details are submitted, the Meet Directors place each school into the appropriate division (i.e. small school or large school). At most meets, DeMatha is considered a large school since its student population is over 800 (generally, 500 students is the dividing line), but some Meet Directors classify DeMatha as a small school - presumably because we are a private school.
Can I participate in another fall sport?
Since cross country practices occur at the same time as other fall sports, getting the required training to compete at one's best is not possible if the athlete's time is split between sports. Special situations may be considered after it is discussed with the coaches from each sport.
Can I participate in a school club during the cross country season?
If you are interested in participating in a school club, talk to Coach. If your club activities do not interfere with your commitments to the team (practices and meets), he will approve.
How long is a cross country race?
Most high school cross country races are 5 kilometers (3.1 miles).
Occasionally, for a variety of reasons, Meet Directors may host a shorter race.
How many miles will I run in a week?
Training plans vary based on athlete experience and physical ability.
For new runners at the beginning of the summer, weekly mileage is typically around 10 to 15 miles per week and may increase to as much as 25 miles per week late in the season.
For runners with two years of experience, weekly mileage is typically around 30 to 35 miles per week.
For veteran runners (3-4 years experience), weekly mileage is typically between 35 and 50 miles per week.
Will I train/race in all weather conditions?
Meets generally are not cancelled for inclement weather; however, individual races will be suspended, if not already in progress, for thunder/lightning. So long as conditions are not dangerous (e.g., high winds, heavy rain, lightning), the team will practice in inclement weather. When possible, practices will be moved indoors in the event of severe weather.
Am I required to get a locker in the Convocation Center locker room?
Yes, athletes must have a locker in the Convocation Center as they will have no access to the other school buildings after school hours.
If an athlete's school locker is not located in the Convocation Center, they will need to rent a lock from the Athletic Director's office. The cost is $5. After renting a lock, an athletic locker in the Convocation Center will be assigned.
At the end of the season, rented locks must be returned to the Athletic Director's office.
What should I do if I think I have an injury?
Speak to your coach immediately, do not keep your suspicions to yourself.
See DeMatha's Athletic Training Staff to be evaluated. You may do this with or without a coach present, but always keep your coach informed of your injury and any discussion you have with the trainers about it.
Wendy, Jenn, and the rest of our athletic training staff are all great resources and very knowledgable about a variety of sports injuries. Their expertise is invaluable and following their guidance will decrease your recovery time tremendously.
Can I drive to off-campus practices once school is in session?
Yes; with your parents' permission. Coach must be notified before an athlete begins driving himself to practices.
Athletes may not drive other athletes without both athletes' parents' approval. Coach must be notified of such an arrangement.
How do I find the results of my race?
Race results are posted on various running websites.
